The Administrative Assistant will play a vital role in supporting the administrative functions of UC’s home office. This position will be responsible for providing assistance to various departments including Finance, Human Resources, Government Affairs, Compliance, and the SPARK Foundation.

Key Responsibilities:

  • General Office Management:
  • Manage daily departmental office operations, including but not limited to scheduling meetings, managing calendars, and handling correspondence.
  • Maintain office supplies and ensure the office environment is organized and professional.
  • Coordinate with IT to resolve any technical issues that may arise.
  • Administrative Support:
  • Provide administrative support to the Finance, Human Resources, Government Affairs, and Compliance departments.
  • Assist in preparing reports, presentations, managing documentation, tracking deadlines, data entry and preparing necessary filings as needed.
  • Manage and update records and files, ensuring confidentiality and compliance based on company policies.
  • SPARK Foundation Support:
  • Assist with the donor database, including data entry, updates, and generating reports.
  • Support administrative efforts related to fundraising events, donor communications, and grant applications.
  • Coordinate communication between the SPARK Foundation and UC team members, ensuring that requests for assistance are handled promptly.

Qualifications:

  • Education:
  • Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
  • Experience:
  • Minimum of 3 years of experience in an administrative or office management role.
  • Experience in the healthcare sector is a plus.
  • Skills:
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks and work effectively in a fast-paced environment.
  • Familiarity with donor management software is a plus.
