OPERATIONS ASSISTANT POSITION INTRO
ARU's rapidly growing Operations team seeks a dedicated insurance Operations Assistant.
As an Operations Assistant, you will be instrumental in maintaining the seamless daily operations of our company. Collaborating closely with the Operations & Technology team, leadership, and various departments, you will ensure smooth workflows, provide vital administrative support, and contribute to process improvements. Your efforts will be key to enhancing operational efficiency and effectiveness, directly impacting the success of our organization.

PRIMARY DUTIES:

- Work as a member of the Operations and Technology team to:
- Prepare and maintain reports, presentations, and documentation for internal & external use.
- Communicate and collaborate with departments to facilitate smooth workflows.
- Assist in developing and implementing operational procedures and policies.
- Support process improvement initiatives by collecting data, providing insights, and assisting in execution.
- Handle general administrative duties and address operational issues as they arise.
- Maintain and support projects, tracking budgets, expenditures, work hours, and schedules.
- Organize, attend, document, and participate in stakeholder meetings, following up on project tasks.
- Assist in stakeholder support, requirements gathering, and project coordination.
- Administer and configure applications, analyze system performance and data quality, and perform software testing.
- Perform quarterly audits, contract processing, and system management
- Manage entity and producer licensing processes.
- Conduct ad hoc reporting, website scrapes, and vendor research.
- Provide broker support, contract documentation, and helpdesk backup.
- Manage company knowledge base and organize SOPs.
- Perform quality audits for submissions, data reporting, and other areas.
- Review and track IT orders, and assist with repetitive tasks that cannot be automated.
- Coordinate small projects and complete project request forms.
- Master the use of ARU standardized hardware, software programs, third party software, and processing procedures.

WHAT WE MINIMALLY REQUIRE - YOUR EDUCATION, EXPERIENCE, AND SKILLSET:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in related field preferred.
- Insurance experience is a BIG plus (but is not required).
- Ability to work independently and as part of a team.
- Proficiency in the Google Suite (Gmail, Sheets, Docs, etc), and the ability to learn new systems quickly.
- Exceptional thoroughness, accuracy, personal organization, time management, and record-keeping skills.
- Excellent critical thinker and problem-solver under pressure. High intellectual curiosity, with an enjoyment of learning and self-improvement.
- Proven ability to take ownership of assigned responsibilities and accompanying results.
- Excellent professional presentation and polish, in the spoken word and written form.
REMOTE POSITION / HOME OFFICE / TIME ZONE REQUIREMENTS:
- This is a 100% remote position. As such, adherence to remote-work best practices is required, which includes (but is not limited to) having an appropriate professional home-office set-up, with reliable high speed internet. The space used for the office must be a separate enclosed room with a door that closes and that has professional decor appropriate for video conferencing.
- As this is a remote position, candidates may live anywhere in the United States. However, working either EASTERN or CENTRAL time business hours is required.
